Not every case needs a checklist. For memos, call notes or things you want to keep an eye on, there is the Notiz (Note) type. Deadlines with a date are a separate type and are managed under Meine Fristen (My deadlines).

The Note type

The Notiz (Note) type is a task without a workflow:
  • no checklist, no mandatory fields other than the title,
  • no automation: mory makes no suggestions and sends no emails,
  • optionally linked to a property, unit, person or another task,
  • appears like any task under Meine Aufgaben (My tasks) and can hold comments, documents and time tracking.
Typical uses: a phone note after a conversation with an owner, a hint for your deputy, research on a question that does not yet trigger a case.

Creating a note

Open New task

Under Aufgaben (Tasks) click Neue Aufgabe (New task) and choose Notiz in the workflow type selector.

Enter content and reference

Enter title and description. Optionally link a property, unit or person so the note appears in their activity.

Choose private yes/no

Set Privat (Private) to yes if only you should see the note. Private notes carry a lock tag and are invisible to other users, including deputies. Public notes are visible to the whole team with access to the organisation.

Save and close when done

The note stays open until you complete it. Completed notes move to the Archiv (archive).

Reminders and deadlines

For anything with a date, use the Erinnerung/Frist (Reminder/Deadline) type. Most deadlines are generated automatically from leases (expiry, option, index, graduated rent) and from the maintenance of Ausstattung (equipment). You can also create deadlines manually, for example for a callback or a warranty period. All deadlines appear in the dashboard section Fristen & Indizes (Deadlines & indices) and under Meine Fristen. Tips & pitfalls

If a note turns into a real case, change the workflow type in the task details, for example to Allgemeine Anfrage (General request). mory then adds the checklist and supports you with the processing.
Private notes are truly private: during absence or when tasks are transferred to another person in bulk, they are not handed over to your deputy. Keep team-relevant information public.
  • Notes without a link to a property are hard to find later. Link them where possible.
  • For shared task lists without a workflow (for example condo agenda items), subtasks work better than many individual notes.
