In mory you do not sort documents into folders by hand. This page shows which tools help you find a document quickly instead.

Smart Folders

In the Dokumente (Documents) tabs of all modules (Liegenschaften (properties), Einheiten (units), Ausstattung (equipment), Personen (people), Unternehmen (companies), Aufgaben (tasks)), documents are grouped automatically by type: contracts, invoices, quotes, plans, photos and so on. These groups are called Smart Folders.
  • Smart Folders are created automatically from the recognised document type. You do not need to set anything up.
  • By default, Smart Folders are collapsed. Click a folder to see the documents inside.
  • If you change a document’s type in the sidebar, it automatically moves to the matching Smart Folder.

Filtering

In the Datenbank (database) you narrow down the view with filters: Filters can be combined, for example “invoices for property X from 2026”.

Searching

Search in the database is forgiving: you find a document even if you do not know its exact name or make a typo. Title, sender and tags are among the fields searched.
Search for the contractor’s name or a tag such as “heating” if you no longer remember the file name.

Finding documents via mory Chat

You can ask mory Chat for documents in natural language, for example “Show me the latest heating invoice for Bahnhofstrasse 5”. The chat answers with a direct link to the document. See mory Chat.

Opening a document

Clicking a tile opens the document with preview and sidebar. From a Documents tab you can also open a document in the full database view instead of the pop-up. This is handy when you want to edit several fields or read the extracted text.

Three-dot menu

The three-dot menu on a tile offers the following actions:
  • Herunterladen (Download): save the original file locally.
  • Löschen (Delete): remove the document from the database. It also disappears from all linked modules.
Deleting cannot be undone. Check first whether the document is still needed in an ongoing task.

Linking a document to a task

Enter the task number (format T-YYMMDD-NNN) in the sidebar to link a document to a task or deadline after the fact. The document then appears in the Documents tab of that task.
