Instead of sending documents by email, you share them directly from the Datenbank (database) to the tenant portal or owner portal. This page shows how.

Prerequisite

The person needs an active portal account. Invitations are sent from mory in the Personen (People) module (sidebar Portal). How to invite is described under Tenant portal and Owner portal.

Sharing to the tenant portal

Open the document

Click the document in the database or in a Dokumente (Documents) tab.

Find the sharing area

In the sidebar you find the area for sharing to the tenant portal. It lists the tenants who are related to the document through the assigned Einheit (unit) or Liegenschaft (property).

Select tenants

Enable sharing per tenant. Access is granted per portal account: only the selected people see the document.

Sharing to the owner portal

Below the tenant sharing you find the sharing for the owner portal. It works the same way: select the owners who should see the document. Typical examples are quotes for approval, minutes or statements.

Sharing rules

Whether a person is available for selection depends on two things:
If the person you want is not available for selection, first check the document’s context (property, unit) and whether the person has a portal account.

Removing a share

Disable the share in the same area of the sidebar. The document disappears from the person’s portal immediately. Copies that have already been downloaded cannot be recalled.

What the person sees in the portal

In the tenant portal or owner portal, the shared document appears in the Documents area with title, type and date. The person can view and download the document. Internal fields such as Mandant (client), task number, summary or history are not visible in the portal.
Before sharing, check whether the document contains information about other tenants or owners, for example collective invoices or minutes with names.
