The STWEG Beschlüsse (Condo community decisions) workflow helps you implement the resolutions of a condominium or co-ownership owners’ meeting. Subtasks are created from the minutes and tracked over months.

Trigger

Create the task via Neue Aufgabe (New task) as soon as the minutes of the meeting are available. The mandatory detail is the property. It should be managed with the object category STWEG or MEG in its management data, with meeting date and invitation deadline recorded.

The steps in detail

Upload minutes

Upload the minutes of the owners’ meeting to the Dokumente (Documents) tab. mory reads the resolutions and derives subtasks with title, description and, where mentioned, deadline and responsibility.

Create & confirm subtasks

The Mory AI suggestion card shows the recognised subtasks. Check titles, deadlines and assignment, remove or add entries and confirm. mory creates one subtask per resolution with the tag STWEG Beschlüsse. You process these subtasks manually; mory makes no suggestions there.

Ongoing task management

The main task stays open as long as resolutions are being implemented. The Aufgaben (Tasks) tab shows all subtasks with their status. Add new subtasks as they arise, for example from circular resolutions or committee meetings. If a resolution turns into a construction project, open a Renovation & refurbishment task for it and link it.

Close ticket

Once all subtasks are completed, close the main task. It moves to the Archiv (archive) and serves as proof of implementation for the next meeting.
On the Liegenschaft (property), under management, you find the meeting date, invitation deadline, committee and audit. From these mory generates deadlines that appear in the dashboard section STWEG-Planung (condo planning) and under Meine Fristen (My deadlines). The property’s open resolution tasks are also shown in the condo planning section.

Tips & pitfalls

Number the subtasks like the agenda items in the minutes (for example “T5: laundry room renovation”). This makes them easy to find at the next meeting.
  • mory recognises resolutions only from readable text. Scanned minutes go through text recognition; check the result if scan quality is poor.
  • Subtasks have their own assignees and due dates. Distribute them within the team.
