# Frequently asked questions about mory

> Short answers to the most common questions about tasks, the inbox, property management, the database, portals and your account.

This page gives short answers to questions that come up often when working with mory. Each answer links to the page where the topic is explained in detail.

## Tasks & agent

  <Accordion title="Why can't I see a task?">
    Check three things: Is the right **Mandant** (client) selected in the header? Does your role give you access to the property concerned? And open the **Alle Aufgaben** (All tasks) tab under **Aufgaben** (Tasks): **Meine Aufgaben** (My tasks) only shows tasks where you are responsible or involved. Completed tasks are in the **Archiv** (Archive). More about navigation in [The interface](/en/welcome/interface).

  <Accordion title="Why didn't mory send an email?">
    mory only sends when you confirm the proposal in the **Mory AI** card or when the workflow step is set up for automatic sending. Common reasons: the proposal is still waiting for your approval, you undid the sending, no recipient with an email address exists, or mory has stopped because, for example, no contractor is recorded.   <Accordion title="How do I change the contractor of a task?">
    In the right sidebar of the task, under **Aufgaben-Kontext** (Task context), you find the **Auftragnehmer** (Contractor) field. There you can switch the suggested contractor or create a new company. mory adapts the following checklist steps. See [Damage handling](/en/workflows/damage-basic).

  <Accordion title="What does Kompetenzsumme mean?">
    The **Kompetenzsumme** (approval limit) is the amount up to which the property manager may decide without owner approval. It is maintained per property. If a quote exceeds the limit, mory adds an owner approval step. See [Glossary](/en/welcome/glossary).

  <Accordion title="Can I delete a task?">
    No. Complete the task instead so it moves to the **Archiv** (Archive). Link wrongly created or duplicate tasks to the correct task and document this in a comment.

## Inbox & email

  <Accordion title="Why wasn't an email assigned to a task?">
    Replies are recognized by the task number in the subject (format T-YYMMDD-NNN). If the number is missing because the recipient used a new subject, the email appears as a standalone message in the **Posteingang** (Inbox). Link the message to the task manually.

  <Accordion title="Which account is used for sending?">
    When you **Verfassen** (Compose), you choose the sender account. Your personal connected accounts and the organization accounts are available. How to connect an account is described in [Profile & accounts](/en/welcome/profile).

  <Accordion title="What happens with Done and Snooze?">
    **Done** removes the message from the active view without deleting it. **Snooze** hides it until the chosen time and then brings it back to the **Wichtig** (Important) tab.

## Property management

  <Accordion title="Why is a unit &#x22;vacant&#x22; although a tenant is recorded?">
    Whether a unit is occupied depends on the tenancy, not on the person's name. Open the **Mietverhältnis** (Tenancy) tab in the **Einheit** (Unit) and check whether the contract has a party as well as a start date and, if applicable, an end date. Without these, the contract does not count as active and the unit counts as vacant.

  <Accordion title="Why are no deadlines created?">
    Deadlines are created automatically from contracts (expiry, option, index, step rent) and from **Ausstattung** (Equipment) (next maintenance). If these details are missing in the tenancy or on the equipment, no deadline is created. Fill in the fields and the deadlines appear on the dashboard and under **Meine Fristen** (My deadlines).

  <Accordion title="How do I merge duplicate people?">
    Under **Personen** (People), mory detects duplicates and offers to merge them. Choose the entry that should remain; relationships, tasks and documents are carried over.

  <Accordion title="Who sees which properties?">
    Visibility depends on **Organisation** (organization), **Mandant** (client) and role. Contact your administrator if a property is missing for you.

## Database

  <Accordion title="Why wasn't a document assigned?">
    Automatic assignment needs clues in the document: an address, the name of a party, a task number or the name of a piece of equipment. Without these, the document stays unassigned. Open the document in the **Datenbank** (Database) and set property, unit, equipment or task manually in the sidebar.

  <Accordion title="Can I change the title of a document?">
    Yes. The title initially matches the file name and can be edited in the document sidebar. You can also adjust valid from/to, period and client.

  <Accordion title="How do I find a document quickly?">
    Use the search in the **Datenbank** (Database), the smart folders, or ask **mory Chat**, for example "Show me the lease for unit 3.02". The chat returns a link to the document.

## Portals

  <Accordion title="How do I invite a tenant to the portal?">
    Open the person under **Personen** (People) and use the **Portal** section in the sidebar. An email address and a tenant relationship to a unit are required. The portal status is shown in the people list.

  <Accordion title="Which documents do tenants or owners see in the portal?">
    Only documents you have explicitly shared with the tenant or owner portal in the **Datenbank** (Database).
  </Accordion>

  <Accordion title="Do WhatsApp messages and calls create tasks?">
    Yes. Messages to the organization's WhatsApp number and calls to the phone assistant are sorted and created as tasks with the corresponding source.

## Account

  <Accordion title="How can I work in English?">
    The mory interface is in German. This help center is available in German and English via the language switcher. mory detects the language of a task (and thus of the communication with the sender) automatically; you can change it in the task's **Details**. **mory Chat** translates texts on request.

  <Accordion title="Why can't I sign in?">
    mory has no self-registration. You need an invitation from an administrator and sign in with the invited Google or Microsoft account. See [Signing in](/en/welcome/login).

  <Accordion title="How do I set up an absence?">
    Under [Profile & accounts](/en/welcome/profile) you set your absence and substitute. Tasks can be reassigned in bulk for that period.
