# Roles and permissions

> Which roles exist in mory, how permissions work across instance, organisation and client, and what a restricted user sees.

This page explains how mory controls who can see and edit which data. Roles are assigned in **Einstellungen** (Settings). Depending on your permissions, you may not see this area or only parts of it.

## Which area a role applies to

Every role applies to a specific area:

| Area                            | Effect                                                                                                     |
| ------------------------------- | ---------------------------------------------------------------------------------------------------------- |
| **Instanz** (Instance)          | The user sees all organisations and clients of your company. Typical for administrators and management.    |
| **Organisation** (Organisation) | The user sees all properties, tasks and documents of one organisation.                                     |
| **Mandant** (Client)            | The user sees only the data of one or more specific clients, for example the properties of a single owner. |

## Default roles

mory ships with predefined roles. The roles available to you are listed in Settings.

* **Admin**: Manages organisations, users, roles, connected accounts and **Workflows**. Sees all data of your company.
* **Bewirtschafter/in** (Property manager): Works on tasks, properties, units, people and documents within their area. Works with the agent and the checklists.
* **Other roles**: For example for accounting or the service center, with restricted editing rights.

## What a user with area client sees

A user with area **Mandant** (client) sees only data of their client:

* **Aufgaben** (Tasks): Under **Meine Aufgaben** (My tasks), **Meine Fristen** (My deadlines) and **Alle Aufgaben** (All tasks), only tasks for properties of this client appear.
* **Datenbank** (Documents): Only documents assigned to the client or its properties.
* **Dashboard**: Key figures, deadlines and lettings refer to the client only.
* **Bewirtschaftung** (Management): Only the client's properties and units. Contacts (**Personen** (People), **Unternehmen** (Companies)) are visible to everyone.

## Assigning a role

    Select the role and define whether it applies to the whole company, one organisation or specific clients.

    The change takes effect at the next sign-in or after reloading the page.

## Team view: absence and reassignment

Everyone can record an absence in their own profile. Team leads and administrators additionally see a team view in Settings:

* Record absences for other team members, for example in case of unexpected leave.
* Reassign all open tasks of one person to another person in one go.

  Reassign tasks before deactivating a user so deadlines and checklists stay in progress.

## Visibility towards other companies

Data of other companies that also use mory is never visible, not even to administrators.

    First check the **Mandant** (client) selector in the header: is the correct client selected? Then check with your administrator whether your role has the right area. In most cases it is one of these two points.

    Yes, for example property manager for one organisation and admin for the whole company. The broader permission applies.

    The area is password protected and usually reserved for administrators.
