# Managing organisations and users

> How instance, organisation and client relate in mory, and how to create organisations and invite, deactivate or delete users.

This page shows how to maintain organisations in **Einstellungen** (Settings) and how to invite, deactivate or delete users. Settings is password protected. Depending on your permissions, you may see only some of the functions described here.

## The three levels: instance, organisation, client

In mory you will meet three terms that define who sees which data:

| Term                            | What it means                                                                                                                                                  | Example                              |
| ------------------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------- | ------------------------------------ |
| **Instanz** (Instance) | Your company as a whole. All users and contacts belong to it. | Your property management company |
| **Organisation** (Organisation) | A legal entity or management unit of your company. Properties, **Workflows**, connected email accounts and WhatsApp numbers always belong to one organisation. | A subsidiary or a branch office |
| **Mandant** (Client) | An owner or owners' association together with its properties, tasks and documents. | Owners' association Musterstrasse 12 |

<Info>
  You do not create clients yourself. As soon as you assign an owner to a property, mory creates the matching client automatically. Use the **Mandant** selector in the header to switch between clients.
</Info>

Contacts (**Personen** (People) and **Unternehmen** (Companies)) are visible in all organisations of your company. A person recorded in one organisation is therefore available everywhere.

## Creating and managing organisations

  </Step>
</Steps>

<Note>
  Every organisation also appears automatically as a company under **Bewirtschaftung › Unternehmen** (Management › Companies). This allows an organisation to be linked to properties, for example as owner or manager.
</Note>

## Inviting users

<Steps>
  <Step title="Create the invitation">
    In Settings, go to user management and invite a new person with their business email address. Assign a role right away (see [Roles & permissions](/en/admin/roles-permissions)).
  </Step>

  <Step title="Invitation email">
    The invited person receives an email with a link to set up their access.
  </Step>

  <Step title="Sign-in">
    The person signs in with their Google or Microsoft account. There is no username and password login. The email address of the Google or Microsoft account must match the invited address.
  </Step>
</Steps>

<Tip>
  For every user, mory automatically creates an entry under **Bewirtschaftung › Personen** (Management › People). This lets the person be assigned to properties as responsible manager, deputy or accountant.
</Tip>

## Deactivating and deleting users

* **Deactivate**: The person can no longer sign in; their assignments and activities remain visible. Recommended when someone leaves or is absent for a long time. Reassign open tasks first (see the team view under [Roles & permissions](/en/admin/roles-permissions)).
* **Delete**: Removes the access permanently. Use this only if the access was created by mistake.

## Editing a user's contact details

Phone number, display name and other contact fields are edited in the linked entry under **Personen** (People) or directly in user management.

<Warning>
  A user's email address cannot be changed because it is bound to the Google or Microsoft account. For a new address, invite the person again and deactivate the old access.
</Warning>
